FAQ
Auction management software is a platform that runs an auction house end to end - cataloging lots, registering bidders, generating invoices, processing payments, and settling with consignors. GavelDash replaces spreadsheets, manual invoicing, and disconnected tools with one unified system built specifically for consignment and estate auction houses.
GavelDash supports credit and debit cards (Visa, Mastercard, Amex, Discover), ACH bank transfers, and offline methods like check, wire transfer, and cash. All online payments run through PCI-compliant Authorize.Net tokenization, so card data never touches your server.
Buyer's premium is configured per auction as a percentage of the hammer price. The rate is frozen when the auction is created and applied automatically to every lot. When invoices are generated, the premium is added as a line item, and you can set per-lot overrides for special consignment arrangements.
Yes. GavelDash automates consignor settlement: after an auction ends it calculates seller commissions from your configurable fee schedule and generates itemized settlement statements - gross sales, commissions, fees, and net payout. You can produce PDF statements, email consignors, and track disbursements through to completion.
Yes. Live online bidding is built into GavelDash - no third-party bidding platform required. Bidders register and get verified on your white-label storefront, then bid in real time on timed auctions with proxy (max) bids, soft close that extends the clock on late bids, and staggered lot closing. Every bid and lot close is pushed live to all open browsers, the buyer's premium is shown as bidders bid, and each bidder tracks winning and outbid lots from a My Bids portal.
Proxy bidding lets a bidder enter the maximum they are willing to pay; GavelDash then bids on their behalf in the auction's increments, only as high as needed to stay in the lead. Soft close protects against last-second sniping: if a bid arrives inside the closing window, the lot's end time is extended so other bidders can respond. You configure the soft-close window, the extension length, and the stagger between lot closings per auction. Bidders' maximum bids are hidden from auction-house staff by default, so bidders can bid their true limit.
Absolutely. Every auction house gets a white-label storefront on its own subdomain with customizable brand colors, logo, and SEO-optimized catalog pages. Email templates are fully customizable through a token replacement system - personalize notifications with bidder names, amounts, and invoice details.
Yes. GavelDash supports CSV batch import with automatic field mapping, slug generation, and image association, plus built-in HiBid JSON import and Auction Mobility integration. You can import hundreds of lots in seconds with full validation and error reporting.
Yes. Every registered bidder gets a self-service buyer portal to view won lots, pay invoices online, save lots to a wishlist, and manage addresses and payment methods. Consignors get a separate portal to track consigned lots and view settlement statements.
GavelDash provides a real-time admin dashboard with revenue, outstanding invoices, user counts, and auction status, plus an auction calendar, activity feed, and highest-bids widget. You can export 11 resource types to CSV - auctions, lots, invoices, payments, settlements, and more - with filters matching your current view.
